Thank you for joining us for the 2022 Solar Power and Energy Storage Mountain West Conference. We are excited to host industry professionals from around the nation who will gather together to share a collective interest in solar and energy storage in the Mountain West region.

To enjoy the conference to the fullest and maximize the value of your investment, please read through the following information and be sure to note all important dates and checklists.

SPONSOR CHECKLIST

(Sponsors with Exhibits will also reference the Exhibitor Checklist Below)

  • As Soon As Possible: Don’t wait to register your attendees online
  • As Soon As Possible: Book your hotel room at the Hilton Denver
  • As Soon as Possible: Send a vector file of your logo (EPS or TIF preferred) to Anna Dunn. 
  • By January 4: To receive discount pricing on exhibit products and services from Freeman, order by this date. 
  • By January 13: Receive at least one dose of the Johnson & Johnson vaccine, or two doses of the Moderna or BioNTech, Pfizer
  • By January 14: Ship out attendee conference bag items to Shannon Koch. Attendee conference bag items must be received by January 21 in order to be included.
  • By January 14: Send ads for the official conference program to Anna Dunn (If applicable to sponsor level).
  • Prior to Shipping: To ship any sponsor-level specific promotional items, complete the Freeman order form and email it to ExhibitorSupport@freeman.com. (If applicable to sponsor level).
  • By January 24:  All items going to Freeman’s warehouse must arrive by this time or additional charges will be applied.(If applicable to sponsor level).

Logo:

Send a vector file of your logo to Anna Dunn at adunn@cossa.co prior to order dates to ensure your logo is included on the  conference signage and official program. Preferred file types are EPS or TIFF. Next are AI, SVG or PDF. 

Special Promotional Signage:

Depending on your sponsorship level, you will receive special promotional opportunities. These materials can be shipped, delivered through the loading dock, or brought in-person by your attendees. Shipping details are provided in the section “Shipping Information” on the Exhibitor Details page, page 8.

Once the items arrive, they must be delivered to Shannon Koch and the Done and Done Events team at the Registration Desk. Done and Done staff will be responsible for setting up promotional materials at the proper time. 

The Registration Desk will be will be open on:

Monday, January 31: 12-6pm (Encouraged Delivery Window)

Tuesday, February 1: 7:30am-6pm 

Wednesday, February 2: 7:30am-5pm

Applicable Sponsorships: Title, Terawatt, Gigawatt 

If your company selected one of the above sponsorships, you have the option of bringing company signage for additional exposure. We recommend utilizing banner stands, retractable banners with a maximum size of 48″ x 90″. Maximum of two banners total.

Applicable Sponsorships: Networking Breakfast/Coffee/Lunch/Happy Hour

If your company selected one of the above sponsorships you have the option of bringing company signage for additional exposure to be placed around the food service area. We recommend utilizing banner stands, retractable banners with a maximum size of 48″ x 90″. Maximum of two banners total.

Specific food station signage will also be provided by COSSA, which includes special sponsorship recognition with your logo. These will be tabletop signs for the food service stations. 

Program Ad:

Sponsors receive the ability to feature their business in the official conference program. The size of the advertisement changes according to sponsor level. 

Title Sponsor, Terawatt Sponsor: Full Page, 8.5” x 11”

Gigawatt Sponsor: Half page, 8” x 5”

Megawatt Sponsor: Quarter page, 3.875” x 5”

Ads should be at least 300 ppi. Preferred high-resolution file formats are (in order of preference) EPS or TIFF, PDF, JPEG, PNG.

Attendee Conference Bag:

For inclusion in the attendee conference bag, please ship all materials by January 14, to ensure that they arrive by end of day Friday, January 21.

Examples of items that can be included in the attendee conference bag include:

  • Up to an 8.5” x 11” sales flier or brochure
  • Wireless phone chargers, portable battery chargers
  • Fun and useful conference swag items
  • Sponsors are allowed one item and flier/brochure max

  • The expo hall will be open to attendees during the following hours:
    • Tuesday, February 1 from 10:30am-6pm
    • Wednesday, February 2 from 10:30am-5pm
  • It is required that your exhibit is staffed during these times.

What can you expect already at your exhibit?

  • Your exhibit includes:
    • 1 table with black linens, 2 chairs, 1 trash bin, 1 sign with organization name, and Pipe and drape

Did you ship your items through Freeman?

  • If you shipped items to Freeman, they will be waiting for you at your exhibit.

Are you planning on using the Hilton loading dock?

  • If you need to unload your exhibit items at the Hilton via their loading dock:

Load out

  • You can start to dismantle your exhibit Wednesday, February 2 at 5pm.
  • Conference regulations require that no exhibitor may dismantle before this time.

What you will need to bring:

Attendees will be required to provide proof of vaccination to gain access to the conference. COSSA recommends using the MyColorado app to create a virtual version of your vaccine card for easy check in at registration. Your personal vaccine card and driver’s license will also be accepted.

COVID-19 INFORMATION

Vaccination

We will be requiring proof of vaccination in order to attend the conference. Attendees must have received the Johnson & Johnson vaccine, or the second dose of Pfizer or Moderna, by January 13, 2022. 

Masks

COSSA is closely monitoring local guidance and mandates regarding masks. Denver County has imposed a mask mandate that will require masks to be worn indoors from November 24, 2021 until January 3, 2022. We will update our guidance on our website as we things develop:  solarstoragemountainwest.com/covid-19-and-safety/ 

Other PoliciesAttendees must follow all policies set by local authorities and the venue. This includes health and safety policies and posted instructions while in the venue and on venue grounds.
